主席台助理人員職責說明
一、主要任務
- 協助主席團與主持人
- 配合大會司儀,掌握流程、時間與貴賓入座時機。
- 傳遞主席台文件、講稿、名單、頒獎卡或臨時通知。
- 協助主席或長官上台、下台的引導與位置確認。
- 貴賓接待與引導
- 預先確認主席台貴賓名單與座次表。
- 接待貴賓抵達現場,確認名牌、座位及飲水安排。
- 必要時協助口譯(日、英、中),協調現場人員溝通。
- 儀典流程支援
- 協助頒獎、開幕、閉幕等儀典的時間控制與道具準備(如花束、證書、獎盃)。
- 確認頒獎人與得獎者的順序、登台路線與合影位置。
- 即時支援儀典現場突發狀況(麥克風、名牌、座次錯位等)。
- 主席台秩序與禮儀維持
- 保持主席台區域整潔與安靜,提醒來往人員注意禮節。
- 主席台僅限核准人員進入,需協助人流控管與安全維護。
- 通訊與協調 (只負責協助)
- 與總控台(控制室)及場內導引人員保持即時聯繫。
- 接收並轉達主辦單位臨時通知。
二、應具備條件
- 熟悉比賽流程與主要貴賓名單。
- 穩重、守禮,具現場應變能力與溝通協調力。
- 穿著整潔(依大會制服規定),保持微笑與禮貌用語。
- 能以中、英(及必要時日語)進行基本接待。
三、應準備物品 (總會準備)
- 座次表與流程表
- 無線耳麥或對講機
- 名牌與筆記板
- 備用水杯與紙巾
- 緊急聯絡清單(含主席、司儀、總控、頒獎組)

Duties of the Stage
Assistants (Chairman’s Platform)
1. Main Responsibilities
- Assist the Presidium and
Masters of Ceremony (MCs)
- Coordinate with the MC
to manage the schedule, timing, and the seating or arrival of VIPs.
- Deliver documents,
scripts, name lists, award cards, or urgent notices to and from the
stage.
- Guide the chairperson
or VIPs when ascending or descending the stage, ensuring proper seating.
- VIP Reception and
Guidance
- Confirm the VIP name
list and seating plan in advance.
- Receive and escort VIPs
upon arrival; check their nameplates, seating, and refreshments.
- Provide interpretation
assistance (Chinese–English–Japanese) when needed and coordinate
communication among staff.
- Ceremonial Process
Support
- Assist with award
presentations, opening and closing ceremonies, ensuring precise timing
and preparation of items such as bouquets, certificates, and trophies.
- Confirm the sequence of
presenters and awardees, and guide them to the correct route and photo
positions.
- Respond immediately to
any on-site issues (e.g., microphone problems, seating mix-ups, name
errors).
- Stage Order and
Etiquette Maintenance
- Keep the stage area
tidy and quiet; remind people to observe ceremony etiquette.
- Ensure that only
authorized personnel enter the stage area and assist in maintaining order
and safety.
- Communication and
Coordination
- Maintain real-time
communication with the control room and on-site staff.
- Receive and relay
temporary notices or updates from the organizing committee.
2. Required Qualifications
- Familiar with the
competition schedule and VIP list.
- Calm, polite, and capable
of quick on-site problem-solving and coordination.
- Neat appearance
(according to official uniform requirements), always maintaining a
friendly and respectful attitude.
- Able to communicate in
Chinese and English (and Japanese when necessary).
3. Items to Be Prepared
- Seating chart and event
schedule
- Wireless headset or
walkie-talkie
- Name tags and clipboard
- Spare water cups and
tissues
- Emergency contact list
(including chairperson, MC, control room, and award ceremony team)
