Duties and Responsibilities
of the Documentation Section, World Tai Chi Chuan Federation Headquarters
一、職責目標
負責總會所有公文、會議紀錄、證書、出版資料及文件管理工作,確保文件製作正確、格式一致、存檔完整,並支援各組行政文書需求。
Objective:
To manage all official documents, meeting minutes, certificates, and
publication materials of the Federation, ensuring accuracy, consistency, and
proper archiving while providing administrative document support to all
sections.
二、主要職掌
Key Responsibilities:
- 公文製作與往來處理:
負責總會所有公文、函件、通知之撰擬、發送與歸檔。
Document Drafting and Correspondence:
Prepare, issue, and archive all official letters, notices, and correspondence for the Federation. - 會議資料與紀錄:
整理各項會議資料、議程、出席名冊及會議紀錄,確保存檔完整。
Meeting Documentation:
Compile agendas, attendance lists, and minutes for meetings, ensuring proper filing and record accuracy. - 證書與獎狀製作:
協助製作競賽、培訓、感謝及榮譽證書,確保內容正確與格式統一。
Certificate Preparation:
Assist in producing competition, training, appreciation, and honorary certificates with standardized formatting and accurate details. - 文件校對與編輯:
負責文件、報告、公告、出版資料之文稿校對與版面審查。
Editing and Proofreading:
Edit and proofread official documents, reports, and publications for clarity, consistency, and correctness. - 中英文文件管理:
協助文件中英文對照撰寫與翻譯校審,確保國際使用一致性。
Bilingual Document Management:
Assist in preparing and reviewing bilingual (Chinese-English) versions of documents to maintain international consistency. - 資料歸檔與保存:
建立文件編號及歸檔制度,保存會議記錄、活動文件與歷年資料。
Archiving and Record Keeping:
Implement document numbering and filing systems; preserve meeting and event archives for future reference. - 出版品與活動資料支援:
支援活動手冊、年刊、議程手冊及其他印刷品之編輯與送印。
Publications and Event Materials:
Support the editing and production of handbooks, annual reports, and printed materials for events and conferences. - 跨組協調與行政支援:
與秘書處、翻譯組、設計組及各單位協調,提供行政與文件支援。
Coordination and Administrative Support:
Coordinate with the Secretariat, Translation Section, and other units to provide comprehensive document and administrative assistance.
三、任用條件
具良好書寫、編輯與組織能力,熟悉文書格式、公文處理與電腦應用,能中英文溝通與校對者尤佳。
Qualifications:
Possess strong writing, editing, and organizational skills; familiar with
document formatting, official correspondence, and computer applications;
bilingual proficiency (Chinese-English) preferred.
